You can modify the Report Filters by clicking on the Filter Options section. 

This opens up the Filter Options pane.


Filters in Dynamic Reports allow you to isolate relevant information by only including information that matches the filter parameters. The more filters that are applied to the report, the more refined the results will be.



In general, there are five different Filter Types that are found in Dynamic Reports; each corresponds to a data type:

  • Date
  • Number
  • Text
  • Yes/No, and
  • Lookup


There are two parts of Filter Options. The first column is the "Available Filters" section. This is a list of Available Filters that were added during report creation. If you do not see a filter you would like to use, please submit a support request.



The purple field of the Filter Options is where Users can adjust the selected Filter parameter. This field is empty until the User selects one of the Available Filter Options. 


If a Filter does not have any parameters, it is simply ignored by the report.



Number Filter

An example of a Number filter is the “Age at Intake” filter. The Age at Intake field records an integer value for the age of the individual as of their Intake Date.

Because Age at Intake is a number field, the filter presents options about the number comparison you would like to use. 

  • Equal to 
  • Greater than 
  • Less than 
  • Is Not
  • Between


To apply a Number filter parameter, type the number into the parameter field.


If there are no number values entered into the parameter fields, then the filter will be ignored by the report.

Text Filter

An example of a text filter is the “Case ID #” filter. The Case ID # field tracks the unique identifier for Cases in Collaborate.

Text filters can be configured to use different types of matching. By default, text filters use the following matching criteria.

  • The filter looks for exact matches only, and is not case sensitive.
  • You can search for multiple values by separating them with commas


If there is no text value in the parameter, the filter will be ignored by the report.



Yes/No Filter

An example of a Yes/No filter is the “Case Invalid” field. The “Case Invalid” field tracks whether a Case has been marked as “invalid” as “Yes.” If a Case is “valid”, then this field will be “No”.


There are 3 possible states that a Yes/No field can have: Yes, No, and Unanswered. The Yes/No filter allows you to choose any combination of those 3 values for comparison. 

If the option “Yes or No or Unanswered” is selected, the filter is treated as not having any parameters and is ignored by the report.

Lookup Filter

An example of a lookup filter is the “Case Type” field. The “Case Type” field is a dropdown field where Users choose the type of Case from a list of options. The filter for Case Type also allows Users to select from the list of options to use for filtering. The report will only return results that match the selected criteria.

Users can select multiple options by holding down the “Control” key while clicking each option. You can also deselect options by holding down the “Control” key and clicking a selected option. If you are using a Mac, you would hold down the “Command” key while clicking each option.

The default behavior of a lookup filter will only include information that matches any of the options that you selected. Note that there is a checkbox near the bottom for “Exclude”. When this checkbox is marked, the lookup filter will exclude information that matches any of the options you selected. If no options are selected for the parameter, the filter will be ignored by the report.

Date Filter

An example of a Date filter is the “Intake Date” field. The Intake Date tracks the day when the Case was received by the agency. 

  Date Filters can have several comparison types that can be configured by the report builder:

  • Later than
  • Earlier than
  • Unanswered 
  • Within Date Range


Most reports are designed with the "Within Date Range" option, which allows the user to specify a From and a To date.



In addition to putting in custom date ranges, the Date Filter also provides convenient date range calculations based on the date of  running the report.

If the option “All Dates (include no date)” is selected, then the filter is treated as not having any parameters and is ignored by the report.
